NEW for Fall 2011: Waitlist for classes in COIN
Beginning with registration for the Fall 2011 semester, Waitlist functionality will be utilized in COIN. Once a class is closed, students will be given the option of adding themselves to a Waitlist for that class.
Faculty will be able to view their Wait Listed students on their class roster by selecting Waitlist from the Enrollment Status drop down list.
When the status of a class is ‘Closed’, faculty will now have two options:
- Assign a Permission Number that will override the class size; or
- Advise students to place themselves on the Waitlist, which does not override the class size.
.
Guidelines for Wait Listed Students
- Students have the option of selecting the Waitlist for a closed class.
- Students should monitor their Waitlist status in COIN. A green check signifies enrollment in a class. A yellow triangle indicates Waitlist standing.
- Once on the Waitlist, students will have the option of “swapping out” a course for which they are already enrolled, if a space becomes available in the Waitlisted class.
- A spot on a Waitlist does not guarantee enrollment in the course.
- Service Indicators/Holds will prevent automatic enrollment from the Waitlist into a course.
- Enrollment in Waitlisted courses occurs every evening.
- Additional details are available on the COIN Student Website.
Daily Processing for Wait Listed Students
- If a slot becomes available in a class that has a Waitlist, the system LOCKS the slot. Students are prevented from enrolling in that class, which will have a status of “Waitlisted” or “Closed”.
- When the Waitlist process runs, COIN attempts to enroll the next student on the Waitlist into the new opening.
- If the next student on the Waitlist is eligible, enrollment takes place; the course status remains “Closed” (because the spot was filled with the first Waitlisted student).
- If the first student on the Waitlist is not eligible, enrollment will not take place. COIN will proceed to enroll the next student on the Waitlist.
- If no students on the Waitlist are eligible, the course status will change to “Open”. The next eligible student who selects the course will be enrolled and the course will close again.
- Ineligible students are not removed from the Waitlist. It will seem that COIN is “skipping” students on the Waitlist since their name remains.
- A student who is automatically enrolled into a space from the Waitlist will receive a confirmation e-mail.
Criteria which will Make a Student Ineligible for Enrollment
There are several reasons why a student may not be eligible to be enrolled in a class s/he waitlisted:
- Student has Holds/Service Indicators preventing enrollment.
- Time conflicts with another enrolled class.
- Student lacks pre- or co-requisite classes.
- Enrollment would exceed the student’s credit limit.
- Student is enrolled in another section of the same course and has not included “swapout” information on the Waitlist request.
- Waitlists remain in effect until September 1, 2011.
Faculty may view and/or print a list of Waitlisted students on their course rosters until the last day of the Add/Drop period. After this time, the Waitlist will be purged from the system.
Benefits of Using the Waitlist Option
- The COIN Waitlist functionality is an automatic and impartial method of determining which students enroll in a class by utilizing a “first come, first serve” queue initiated by the student.
- Faculty will see how many additional students are interested in a class.
- An accurate count can help decide whether to increase seats in an existing section or add a new one.
- Using the Emailing from Class Roster option, the faculty member can communicate directly to students on the Waitlist.
