Mid-Term Grade Rosters

  • Mid-term Grade Rosters will be available for full semester courses beginning on Monday, October 12, 2026, and should be submitted by Friday, October 23, 2026.
  • Mid-term progress indicators are an evidence-based tool promoting academic success and persistence.

Final Grade Rosters

  • Final grade rosters for full semester courses will be available in COIN beginning on Monday, December 7, 2026, and must be submitted by Sunday, December 20, 2026. Refer to the academic calendar for final grade roster deadlines for accelerated session courses.
  • Final course grades are required for ALL courses.
  • Thesis/dissertation/project courses should be graded IP (In Progress) until the entirethesis/dissertation/project has been completed and successfully defended, at which time, a Grade Change Form to update the IP to a final grade (A-F or P/F) must be submitted for all instances of the course.
  • Refer to the Entering Final Grades Job Aid in COIN for Faculty for final grade roster procedures for COIN Faculty/Advisor Mobile View and COIN Faculty/Advisor/Staff Classic View.

Student Incomplete Grade Requests

  • Per the Incomplete Grade Policy, an Incomplete (I) grade may be given only in exceptional circumstances, at the instructor’s discretion and at the student’s request made no more than 48 hours after the final examination or last class. The student must be passing at the time of the request or must be sufficiently close to passing for the instructor to believe that upon completion of the work the student will pass the course. If the work is not completed within a year of the recording of the grade of I, the grade will become an FI (Failing Incomplete). “I” grades cannot be changed to “W” grades.
  • The incomplete grade request is student-initiated. A student must submit their “Incomplete Grade Request Form” by logging into COIN for Students and selecting My eForms from the left-hand navigation and selecting Incomplete Grade.
  • Instructors will receive an email when an incomplete grade request has been submitted by a student for a course.  Incomplete requests are time sensitive and impact our ability to run end of term processing, so it is imperative that you review requests as soon as you receive an email notification.
  • Incomplete grades require chair and dean’s level approval before the Registrar’s Office can enter the I grade in COIN.  Therefore, please DO NOT wait for a student’s I grade to be recorded in COIN before approving and submitting your final grade roster.  If an incomplete form is in process and still pending required approvals, you must enter the letter grade the student has presently earned as if no further work will be submitted on your final grade roster.  If/when the incomplete is approved, the Registrar’s Office will replace your entered final grade roster grade with the I grade.
  • Once the student has completed the work, the instructor must submit a “Grade Change Form” for the grade to be updated. Refer to the faculty grade change requests section below for how to submit a grade change.
  • Students should NOT re-enroll in an approved incomplete course in a future semester. An incomplete grade in the course allows students to complete missing work for this semester’s course. If they re-enroll in the same course in the future semester, it will result in the student paying for the course again and having the approved I grade converted to an FI (Failing Incomplete) grade.
  • If a grade change is not submitted by the instructor by the one-year deadline, the Registrar’s Office will automatically update the student’s I (Incomplete) grade to an FI (Failing Incomplete).

Faculty Grade Change Requests

  • Per the Grade Change Policy, an instructor may request a change of grade only when a computational or procedural error occurred in the original grade assignment. No final grade may be changed because of re-examination, the re-evaluation of work submitted, and/or assigning additional [extra credit] work before or after the end of the term, unless all students enrolled in the class are afforded the same opportunity.
  • A grade change must be approved by the chairperson of the instructor’s department and by the dean of the college within one year of the original grade record. Under limited circumstances and with approval of the Dean or Assistant/Associate Dean, changes beyond one year may be considered.
  • To submit a grade change after your final grade roster has been posted or to update a previously assigned incomplete (I) grade, the instructor must submit a “Grade Change Form” for the grade to be updated.  Instructor must log into COIN for Faculty/Staff, select Home, then the Faculty/Staff eForms tile, and select the Grade Change Form from the left-hand navigation.  Faculty eForm job aids can be found at COIN for Faculty Help
