The Conferencing and Events office can help you whether you are new to event planning or highly experienced in organizing large gatherings. To help this process progress smoothly, note the requirements below.

Event request

25Live is UMass Dartmouth’s reservation system. The system is used to reserve indoor and outdoor spaces across campus, manage meeting and event support services, and bring it all together for complete event management. If you are new to the non-academic scheduling process, please review the job aids located on the 25Live login page.

Submit an online request via 25Live for your intended space along with your event details; date, time, speedtype, room set up, technical resources needed, and if catering will be used.

The Event Planning Checklist (PDF) will assist in completing your event request and allow your request to be approved.

Student organizations

If you are a student organization E-board representative, please check with your organization’s executive board to determine who is authorized to make reservations on behalf of your organization.

All student organizations must have completed all requirements and have prior event approval from the SAIL Office. All links and forms may be found on MyOrgs.

Student dances

All on-campus student dances are currently held in the Woodland Commons on pre-scheduled dates. Information is sent to student organizations at the end of the semester to sign up for their choices for the next semester. 

Cost

For on-campus organizations, there is no charge for reserving a space. However, fees apply for additional services such as Technical Services, Catering, Facilities, Transportation, linens, furniture rental, or UMass Police.

Book an event

Internal events are for staff, faculty, and students to book a room on-campus. Private events are non-university related events, such as a family party.
